Privacy Policy
Last updated: October 2, 2026
Kaidan Inc. and Harmonic Society Inc. (collectively, “we,” “us” or “our”) jointly operate the official ManageAI website at manageai.jp (the “Site”). This Privacy Policy explains how we collect, use, disclose and protect personal information through the Site, and describes the rights available to you, including under applicable U.S. federal and state privacy laws such as the California Consumer Privacy Act as amended by the California Privacy Rights Act (“CCPA”). We also comply with Japan’s Act on the Protection of Personal Information. A Japanese version of this policy is also available.
This policy covers the Site only. It does not cover the ManageAI service itself (app.manageai.jp), which is governed by its own terms and privacy policy.
1. Information we collect
In the past 12 months, we have collected the following categories of personal information:
| Category | Examples | Source |
|---|---|---|
| Identifiers | Name, email address, phone number (optional) | Directly from you (contact form or email) |
| Professional or employment-related information | Company name | Directly from you (contact form or email) |
| Inquiry content | Inquiry type and the message you send us | Directly from you (contact form or email) |
| Internet or other electronic network activity information | Pages viewed, referrer, date and time of visit, browser and device type, cookie identifiers, on-site interactions such as clicks | Automatically, through cookies and similar technologies (Google Analytics) |
We do not collect sensitive personal information (such as government identifiers, financial account information, precise geolocation, or health information) through the Site. Please do not include such information in your message.
2. How we use personal information
- Responding to your inquiries, sending materials you request, and communicating about applications to our programs
- Providing information about the ManageAI service and communicating about onboarding
- Analyzing and improving the Site
- Protecting the security of the Site and preventing spam and abuse
- Complying with legal obligations
We do not use personal information for purposes materially different from those above without notifying you.
3. How we disclose personal information
We disclose personal information only to the following recipients, for the business purposes described in Section 2:
- Between the two operating companies. Kaidan Inc. and Harmonic Society Inc. jointly use the information described in Section 1 to provide ManageAI. Harmonic Society Inc. (operator of the Site) is responsible for managing this information.
- Service providers. Amazon Web Services (hosting, and delivering form submissions to our staff by email, in the Tokyo region) and Google LLC (website analytics through Google Analytics). These providers process information on our behalf.
- Legal and safety. When required by law, or to protect our rights, the safety of others, or the security of the Site.
4. No sale or sharing of personal information
We do not sell personal information, and we do not share personal information for cross-context behavioral advertising (targeted advertising), as those terms are defined under the CCPA and other U.S. state privacy laws. We have not done so in the past 12 months. We do not knowingly sell or share the personal information of consumers under 16 years of age. We do not use or disclose sensitive personal information.
5. Cookies, analytics and browser signals
The Site uses Google Analytics, which uses cookies to collect the internet activity information described in Section 1 so we can understand how the Site is used. We use Google Analytics for analytics only, not for advertising. For more information, see How Google uses information from sites that use its services. You can block or delete cookies in your browser settings, or install the Google Analytics Opt-out Browser Add-on.
Global Privacy Control. If your browser sends a Global Privacy Control (GPC) signal, the Site does not send data to Google Analytics from that browser.
Do Not Track. There is no common industry standard for “Do Not Track” browser signals, so the Site does not respond to them. We honor GPC as described above.
6. Retention
Form submissions are delivered to our staff by email and are not stored in any database. We retain inquiry emails as records of our business communications for as long as our business relationship with you continues and thereafter for record-keeping purposes; we do not delete them on a fixed schedule. You may request deletion at any time (Section 10), and we will delete your information unless we are required or permitted by law to keep it. Google Analytics retains event-level data for two months and user-level data for up to 14 months.
7. Security
We take reasonable security measures, including access control and encryption in transit, to protect the personal information we collect from loss, misuse, unauthorized access, disclosure, alteration and destruction. No method of transmission over the internet is completely secure.
8. International transfers
We are based in Japan, and the personal information we collect is processed and stored in Japan (Amazon Web Services, Tokyo region). Google Analytics data may be processed in the United States and other countries where Google operates. By using the Site, you understand that your information will be transferred to and processed in Japan, where data protection laws may differ from those in your jurisdiction.
9. Children’s privacy
The Site is intended for businesses and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it.
10. Your U.S. privacy rights
Depending on your state of residence (including California, Virginia, Colorado, Connecticut, Utah, Texas, Oregon and other states with comprehensive privacy laws), you may have the following rights regarding your personal information, subject to certain exceptions:
- Right to know / access: to request the categories and specific pieces of personal information we have collected about you, the categories of sources, the business purposes for collecting it, and the categories of recipients to whom we disclosed it

- Right to correct: to request that we correct inaccurate personal information
- Right to data portability: to receive your personal information in a portable format

How to submit a request. Email us at info@manageai.jp with the subject line “Privacy Request” and describe your request. To protect your information, we will verify your identity by matching the information you provide (such as your name and the email address you used to contact us) with the information we hold. We will respond within 45 days, and may extend this period by up to an additional 45 days where reasonably necessary, in which case we will notify you.
Authorized agents. You may designate an authorized agent to make a request on your behalf. We may require the agent to provide proof of your written permission, and may require you to verify your identity directly with us.
